Criteria for the publication and management of free Lyrium profiles

Supplementary information on requested and validated records, and records sourced from public sources.

Last updated: 10 July 2026. This document supplements the Privacy and Cookie Policy, the Artists and Professionals Regulations, the Organisers’ Regulations, the Terms and Conditions of Sale for Services, and the Membership and Withdrawal Policy published on Lyrium.

1. Purpose of this document

Lyrium is a digital platform for research, promotion and networking, dedicated to artists, professionals, groups, arts representatives and operators in the events sector.

This document sets out the criteria according to which Lyrium may publish, make searchable, update, manage, correct, claim or remove free profiles relating to Artists and Professionals, distinguishing between:

  1. profiles requested, created, claimed, validated or managed directly by the Artist/Professional or by an authorised representative acting on their behalf;
  2. free information sheets prepared by Lyrium on the basis of professional and commercial data already made public by the data subject or otherwise available from publicly accessible sources.

This document does not replace the Privacy and Cookie Policy, but supplements it in the specific case of free profiles prepared, published or made searchable by Lyrium prior to a formal request, claim or validation by the data subject.

2. Types of forms

The ‘Artists’ and ‘Professionals’ profiles on Lyrium may come from various sources.

The first category comprises profiles that have been requested, created, claimed, completed, updated or validated by the Artist/Professional, an authorised representative, a group, an organisation, a company, an association or any other authorised party. In such cases, the Artists and Professionals Regulations, the Privacy and Cookie Policy, the Terms and Conditions of Sale for Services, the Membership and Withdrawal Policy, and the technical terms and conditions accepted during the registration, management, membership or payment process apply.

The second category comprises free information profiles created independently by Lyrium, even prior to formal registration or claim, where the published information consists of professional, artistic or commercial data that is already public or publicly accessible. In such cases, the profile does not necessarily imply that the Artist/Professional has already created, validated, claimed or formally accepted the profile.

Any subsequent claim, validation, voluntary amendment, enrolment in a scheme or request for Premium services will place the file within the standard process set out in the applicable Lyrium documents.

3. Purpose of the free publication

The free publication of these profiles is intended to provide information, ensure accessibility, present the information professionally, organise the information and facilitate contact between those seeking and those offering services.

Lyrium makes it easier for organisers, organisations, companies, private individuals and other applicants to find artists and professionals who are a good fit for an event, a region, an artistic category or an operational requirement.

A free listing on Lyrium generally provides an additional channel of visibility for individuals who work professionally or publicly in the arts, music, performing arts, technical or events sectors and who, by the nature of their work, typically benefit from being discoverable, from public promotion and from the opportunity to receive contact enquiries.

The free card can be used on its own and is not conditional on the purchase of Premium services.

4. Sources of information

For the free information sheets it produces independently, Lyrium may use professional and commercial data already available from publicly accessible sources.

By way of example, such sources may include:

  • official websites of the artist/professional;
  • public pages or profiles managed by the data subject or their representatives;
  • promotional materials available to the public;
  • announcements, directories, programmes, posters, event pages, press releases, brochures or publicly available online content;
  • public portals or publicly accessible directories dedicated to artists, professionals, events or similar activities;
  • professional or commercial information that has already been made public by the data subject elsewhere on the web.

Lyrium does not intend to publish any confidential, private, irrelevant or disproportionate information in relation to the informative purpose of the factsheet.

5. Data that may be published

The free information sheets may contain only professional, artistic or commercial details relevant to the presentation and contact details of the artist or professional.

By way of example, the following may be published:

  • stage name, professional name, name of the group or name of the business;
  • artistic or professional category;
  • a brief description of the business, services or catalogue;
  • territories, operational areas or key locations;
  • links to websites, profiles or public pages;
  • images, materials, references or content that are already publicly available and can reasonably be linked to the promotion of the business;
  • professional or business contact details already published as contact channels for the business, where relevant and consistent with the plan or the technical rules applicable to the listing.

Lyrium avoids, within reasonable limits, the publication of excessive personal data, private data, irrelevant sensitive data, data relating to minors that has not been lawfully published, home addresses not presented as business premises, or contact details not reasonably linked to the Artist’s/Professional’s public activities.

6. Legal basis for processing

For profiles requested, created, claimed, validated or managed by the Artist/Professional, data processing is carried out in accordance with the legal bases set out in the Privacy and Cookie Policy and in the applicable contractual documents, including the performance of the contract, pre-contractual measures, legal obligations, consent where required, and legitimate interest where relevant.

For the free information sheets prepared independently by Lyrium on the basis of publicly available data, the main legal basis is legitimate interest within the meaning of Article 6(1)(f) of the GDPR.

The legitimate interest pursued relates to:

  • Lyrium’s commitment to providing a well-organised and useful digital service for searching, presenting and making contact;
  • the interest of users, organisers and applicants in accessing professional information that is already in the public domain in a more structured way;
  • the artists’ and professionals’ own interest in visibility, commercial accessibility and the opportunity to receive relevant enquiries;
  • the general interest in ensuring that supply and demand are properly matched in the arts, professional and events sectors.

The processing is limited to relevant, professional, commercial or artistic data that is already public or publicly accessible, and is carried out without requiring the data subject to purchase Premium services.

7. Free card and Premium services

Publishing a free listing does not entail any obligation to purchase.

Premium services, memberships, upgrades, Basic unlocks or other paid digital services are optional and require an active choice by the Artist/Professional or their authorised representative, in accordance with the terms and conditions published on the website and during the sign-up or payment process.

The presence of a membership page, information on subscription plans or a button to request services within the dashboard does not constitute the sending of unsolicited promotional communications, but simply the provision of functions and commercial information within the platform.

Requests to amend, correct, receive assistance with, block, object to or remove your profile are not conditional upon the purchase of Premium services.

8. Ballot papers not yet claimed or validated

When a profile has been created by Lyrium using public sources and has not yet been claimed or verified by the Artist/Professional, the profile should be regarded as a free information profile.

The presence of the card does not imply, prior to a formal claim or validation:

  • the Artist’s/Professional’s contractual registration with Lyrium;
  • purchase or acceptance of Premium services;
  • representation, agency, brokerage or mandate on behalf of Lyrium;
  • professional certification of the artist/professional;
  • guarantees regarding availability, price, quality, licences, authorisations, technical requirements or operating conditions;
  • prior approval by the Artist/Professional of all information contained in the profile.

Users and organisers must, in any case, check all essential information directly with the Artist/Professional before entering into any financial, organisational or contractual commitments.

9. Claim, update and validation

The Artist/Professional, the authorised representative or any other authorised party may request to claim, update, correct, supplement or validate the profile in accordance with the technical procedures available on Lyrium or via the Support Centre.

Lyrium may request reasonable information in order to verify the applicant’s eligibility, prevent misuse, avoid unauthorised alterations and safeguard the integrity of the service.

Claiming or validating the card entails the application of the relevant Lyrium documents, including the Artists and Professionals Regulations, the Privacy and Cookie Policy, the Terms and Conditions of Sale for Services, and the Membership and Withdrawal Policy, in accordance with the features actually used.

10. Rectification, objection, blocking and erasure

The data subject may request the rectification, updating, restriction, blocking, erasure of their personal data or object to the processing thereof, in accordance with the Privacy and Cookie Policy and applicable legislation.

Enquiries can be submitted via the Lyrium Support Centre, the dashboard, any contact buttons that may be available, email, certified email (PEC) or other contact details published on the website.

The request must state, as far as possible:

  • the relevant form;
  • data to be corrected, updated or removed;
  • reason for the request;
  • the applicant’s title, where necessary;
  • any information that may be useful in verifying the identity, authorisation or validity of the request.

Lyrium assesses requests using reasonable criteria, taking into account the nature of the data, its source, users’ interest in the information, the professional interests of the Artist/Professional, the applicable legislation and any need to protect rights.

Where the request concerns a free information sheet that has not yet been claimed, Lyrium may proceed to correct, obscure or remove it, including by simplified means, where this is reasonable and proportionate.

11. Dashboard, support and contacting Lyrium

Lyrium may provide the Artist/Professional or the contact person with a dashboard, a contact button, a support button, a form or other tools to communicate directly with Lyrium.

The use of these tools to request clarification, assistance, correction, a claim, an update or the removal of the profile does not automatically entail the purchase of Premium services.

Subscribing to a Premium plan, a membership, a Basic unlock or any other paid digital service requires the individual concerned to take specific action in accordance with the procedure set out by Lyrium.

12. Accuracy, timeliness and limitations

Lyrium endeavours to publish information that is reasonably relevant and consistent with the available sources; however, publicly available information may be incomplete, out of date, inaccurate or altered over time by the data subject or by third parties.

Lyrium does not undertake any general obligation to carry out prior verification, certification or ongoing updating of any information published, except in cases of direct liability that cannot be excluded by law.

When an artist or professional becomes aware of a profile concerning them, they may report any inaccuracies or request updates via the available channels.

Users, organisers and applicants must check directly with the Artist/Professional regarding their identity, availability, fees, repertoire, terms and conditions, technical requirements, authorisations, invoicing, liability and any other essential details before entering into any agreements or making any commitments.

13. Content, images, third-party rights and reports

If a listing contains content, images, links, descriptions, references or material that a person considers to be inaccurate, unauthorised, defamatory, out of date or in breach of their own rights or those of third parties, they may report this to Lyrium via the contact details provided or through the Help Centre.

The report must specify the content or page in question, the reason, any right that may have been infringed, the reporter’s title, and any other information relevant to the assessment.

Lyrium may correct, restrict, obscure or remove content, features, images, links or listings where this is reasonable in order to safeguard accuracy, security, the rights of data subjects, the rights of third parties, the reliability of the platform or regulatory compliance.

14. Communications and marketing

The publication of a free information sheet based on publicly available sources does not, in itself, result in the Artist/Professional being automatically subscribed to promotional newsletters or marketing lists.

Lyrium may send technical or service-related communications where necessary for the management of the platform, the account, enquiries, security, support, claims, payments or a relationship already established by the data subject.

Any unnecessary promotional communications are handled in accordance with the Privacy and Cookie Policy and the relevant legislation.

The presence of information on membership, Premium plans or additional services on the website or within the dashboard does not, in itself, constitute promotional communication sent via the data subject’s contact details.

15. Indexing and search engines

Public profiles may be indexed by search engines or third-party services.

The removal or modification of a page on Lyrium does not necessarily result in the immediate removal of cached copies, previews, indexed results or content stored by search engines, archives or third parties.

Where necessary, the data subject may also contact search engines or third parties responsible for the content they store or display.

16. Relationship with other Lyrium documents

This document supplements the Lyrium documents already published.

For profiles requested, created, claimed, validated or managed by the Artist/Professional, the Artists and Professionals Regulations, the Privacy and Cookie Policy, the Terms and Conditions of Sale for Services, the Membership and Withdrawal Policy, and the technical terms and conditions accepted during the Lyrium onboarding process continue to apply in full.

With regard to the free information sheets prepared by Lyrium using public sources prior to any formal claim or validation, this document clarifies the nature of the sheet, the basis for its publication, the sources that may be used, the rights that may be exercised, and the relationship with subsequent claim, validation, Basic, Premium or support processes.

In the event of any apparent conflict between this document and other Lyrium documents, this document shall prevail only in respect of the specific section relating to the free information sheets prepared independently by Lyrium from publicly available sources prior to any claim or validation by the data subject.

17. Updates

Lyrium may update this document for technical, organisational, regulatory or service-related reasons.

The version published on the website supersedes all previous versions from the time of publication, subject to any rights already accrued and any mandatory legal obligations.
